Introduction

Welcome to Vatsalya Aangan. These Terms and Conditions ("Terms") govern your enrollment and use of our childcare services. By enrolling your child at our facility, you agree to comply with and be bound by these Terms.

Please read these Terms carefully before enrolling. If you do not agree with any part of these Terms, please do not enroll your child at our facility.

1. Enrollment and Admission

1.1 Enrollment Requirements

  • Complete and accurate enrollment forms must be submitted
  • Required documents: birth certificate, immunization records, emergency contact information
  • One-time admission fee of ₹1,000 per child is non-refundable
  • Children must meet age requirements for the selected program
  • All health and medical information must be disclosed

1.2 Acceptance

Vatsalya Aangan reserves the right to accept or decline enrollment applications at our sole discretion based on capacity, program suitability, and other relevant factors.

2. Programs and Fees

2.1 Available Programs

  • Full Day Care: 8:30 AM - 6:30 PM, Monday - Saturday
  • After School Care: With homework support
  • Pay-per-Day/Adhoc: Emergency and flexible care options

2.2 Fee Structure

  • Monthly, quarterly, and yearly payment plans available
  • Quarterly plan: 10% discount on total fees
  • Yearly plan: 20% discount on total fees
  • Fees must be paid in advance at the beginning of each billing period
  • Late payment may result in a late fee or suspension of services

2.3 Fee Increases

Vatsalya Aangan reserves the right to increase fees with 30 days' advance written notice to parents/guardians.

3. Payment Terms

3.1 Payment Methods

We accept payment via:

  • Cash
  • Bank transfer/NEFT/RTGS/UPI
  • Cheque (subject to clearance)
  • Online payment gateway

3.2 Late Payments

Payments not received within 5 days of the due date may incur a late fee of ₹500. Continued non-payment may result in termination of services.

3.3 Security Deposit

A refundable security deposit of ₹1,000 is required at enrollment. This will be refunded within 30 days of withdrawal, subject to no outstanding fees or damages.

4. Attendance and Operating Hours

4.1 Operating Hours

  • Monday - Saturday: 8:30 AM - 6:30 PM
  • Sunday: Closed (Emergency care available at additional cost)
  • Public holidays: Closed (will be notified in advance)

4.2 Drop-off and Pick-up

  • Parents must sign children in and out daily
  • Only authorized persons listed in enrollment forms may pick up children
  • Valid photo ID may be requested for verification
  • Late pick-up after 6:30 PM may incur a fee of ₹200 per 30 minutes
  • Repeated late pick-ups may result in service termination

4.3 Absences

Please inform us if your child will be absent. No fee adjustments or refunds are provided for absences, holidays, or closures due to unforeseen circumstances.

5. Health and Safety Policies

5.1 Illness Policy

Children exhibiting the following symptoms must not attend:

  • Fever (100°F or higher) within the last 24 hours
  • Vomiting or diarrhea
  • Contagious diseases (chickenpox, measles, conjunctivitis, etc.)
  • Severe cold or respiratory symptoms
  • Unexplained rash or skin infections

If a child becomes ill during the day, parents will be notified immediately and must pick up the child within 1 hour.

5.2 Medication

  • All medication must be in original containers with clear labeling
  • Written authorization from parents required for medication administration
  • Staff will document all medication given
  • Prescription medication requires doctor's note

5.3 Immunizations

Current immunization records must be provided and kept up-to-date as per government requirements.

5.4 Emergencies

In case of medical emergencies, we will attempt to contact parents immediately and seek medical attention as necessary. Parents are responsible for all medical costs incurred.

6. Behavior and Discipline Policy

We maintain a positive, supportive environment. Our discipline approach includes:

  • Positive reinforcement and redirection
  • Age-appropriate guidance and communication
  • Setting clear, consistent boundaries
  • Time-outs when necessary (age-appropriate)

We do not use:

  • Physical punishment or harsh discipline
  • Humiliation or emotional abuse
  • Food deprivation or forced feeding

If a child's behavior poses a safety risk to themselves or others, parents will be contacted. Repeated severe behavioral issues may result in dismissal from the program.

7. Parent/Guardian Responsibilities

Parents/Guardians agree to:

  • Provide accurate and complete information on enrollment forms
  • Update contact information and emergency contacts immediately when changes occur
  • Pay all fees on time
  • Adhere to drop-off and pick-up times
  • Keep children home when ill
  • Provide necessary supplies (diapers, extra clothes, etc.)
  • Inform staff of any changes in child's health, behavior, or home situation
  • Read and respond to communications from the facility
  • Treat staff with respect and professionalism

8. Personal Belongings

  • All personal items should be clearly labeled with the child's name
  • Vatsalya Aangan is not responsible for lost, damaged, or stolen items
  • Children should not bring valuable items or toys from home
  • We may provide cubby space for storage but are not liable for missing items

9. Withdrawal and Termination

9.1 Voluntary Withdrawal

  • Parents must provide 30 days' written notice of withdrawal
  • Fees for the notice period must be paid in full
  • Security deposit will be refunded after final settlement
  • Admission fee is non-refundable

9.2 Termination by Vatsalya Aangan

We reserve the right to terminate enrollment immediately for:

  • Non-payment of fees
  • Failure to comply with policies
  • Violent, threatening, or abusive behavior by parents/guardians toward staff or other families
  • Child's behavior that consistently endangers themselves or others
  • Fraudulent information provided on enrollment forms

10. Liability and Insurance

While we take every precaution to ensure child safety:

  • Vatsalya Aangan carries general liability insurance
  • We are not liable for injuries resulting from normal childhood activities
  • Parents are responsible for their child's medical insurance
  • We are not liable for illnesses contracted at the facility
  • Parents waive claims except in cases of gross negligence

11. Photography and Media Consent

We may photograph or video record children for:

  • Developmental documentation
  • Facility displays and portfolios
  • Social media and marketing materials (with express consent)

Parents may opt out of media consent at any time by submitting written notice.

12. Complaints and Grievances

We encourage open communication. If you have concerns:

  • First, speak with your child's caregiver or teacher
  • If unresolved, contact the facility director
  • Complaints will be addressed promptly and confidentially
  • We will work with you to find satisfactory resolutions

13. Force Majeure

Vatsalya Aangan is not liable for failure to provide services due to circumstances beyond our control, including but not limited to: natural disasters, government orders, pandemics, power outages, or other emergencies. No refunds will be provided for closures due to such circumstances.

14. Modifications to Terms

Vatsalya Aangan reserves the right to modify these Terms at any time. Parents will be notified of significant changes with 30 days' advance notice. Continued enrollment after notification constitutes acceptance of the modified Terms.

15. Governing Law

These Terms are governed by the laws of India and the state of Rajasthan. Any disputes will be subject to the exclusive jurisdiction of courts in Jaipur, Rajasthan.

17. Acknowledgment and Agreement

By enrolling your child at Vatsalya Aangan, you acknowledge that:

  • You have read, understood, and agree to these Terms and Conditions
  • You have had the opportunity to ask questions and seek clarification
  • You agree to comply with all policies and procedures
  • You understand that violation of these Terms may result in termination of services
